Who you meet
Corporate innovation and purchasing teams, startups, investors, public bodies and, on the last day, the general public. Many startups exhibit inside the pavilion of a partner company rather than on a stand of their own.
Technology
VivaTech is the technology and startup event held every June at Paris Expo Porte de Versailles. Large companies host startups on their own stands, which puts corporate buyers, founders and investors on the same floor for four days.

Corporate innovation and purchasing teams, startups, investors, public bodies and, on the last day, the general public. Many startups exhibit inside the pavilion of a partner company rather than on a stand of their own.
On a partner pavilion, the space, the screens and sometimes the lead scanner belong to the host. A startup that relies on it may never see the contacts in a usable form. And the public day mixes students and curious visitors with the buyers you came for.
Bring your own capture: a QR code on your part of the pavilion and on your phone, feeding a list that is yours. Add a question that separates buyers from visitors, so the public day does not drown the leads that matter. Set the follow-up to leave a few days after the event, once the inboxes have cleared.
VivaTech was launched in 2016 by Publicis Groupe and Groupe Les Echos, and is held every year at Paris Expo Porte de Versailles. In ten years it has become one of the largest technology events in Europe, with a format built around large corporate partners: groups take big spaces, invite startups they work with onto their stand, and use the show to present their innovation programmes.
The audience mixes corporate decision makers, startup founders, investors, public officials and, on the last day, the general public. That mix matters for an exhibitor: the same stand sees a procurement manager from a large group, a founder looking for a pilot and a student curious about the product, and they do not need the same follow-up.
Many startups exhibit at VivaTech through a corporate partner, a regional or national pavilion, or a startup programme, rather than with a stand of their own. Check early which route fits you and what it includes: the space, the number of badges and the days you are present differ from one programme to the next.
Decide who you want to meet on the professional days. If your target is large companies, list the groups present and the people in charge of the topics you address; if it is investors, book meetings before the show. Prepare a form that separates corporate buyers, startups, investors and visitors in one question, so the sorting is done at the stand and not in a spreadsheet two weeks later.
The halls are large and busy, and the corporate stands draw crowds. Make the QR code readable from a distance, and keep a visitor tablet on the counter for the moments when everyone on the team is in a demo. Staff who walk the halls to meet partners should capture contacts in trade show mode on their own phone, with a note on the group, the department and the topic discussed.
On the public day, decide in advance whether you collect consumer contacts at all. If you do, a single question at the top of the form keeps them out of your sales pipeline.
A contact from a large group usually leads to a long process: a first call, a use case, a pilot. Your follow-up should name the department and the topic you discussed and propose a concrete next step. For startups and partners met at the show, a shorter message with a link to book a call is enough. Send both within the week: VivaTech is followed by a busy season, and diaries fill up before the summer.

Shortlist who you want to meet
List the accounts and profiles you are going for. Your qualification questions follow from that list.
Open your event campaign
One campaign for the show: its own register, your questions, your follow-up delay.
Print the QR poster
A5 for the counter, A4 for the wall, and NFC cards for the team if you use them.
Brief the team
Each person gets their own link. Show them trade show mode and the visitor tablet.
Opening day
Every contact lands in one register, even when the hall Wi-Fi drops.
The follow-up leaves
Your follow-up email goes out on its own, while the stand is still fresh in mind.
A QR code on the stand or an NFC card in your hand: the contact fills in your form on their own phone, with your qualification questions.
In trade show mode, photograph a business card or a badge, add a note and a temperature, and move on. It works with no signal.
A visitor tablet on the counter takes the details of whoever is waiting while you are busy, and resets for the next person.
